Privacy Policy
The short version
- We collect what we need to run PortalWire for college athletics staffs: your account details, what your staff enters, and basic security and usage records.
- The Service also contains transfer portal and statistical information about student-athletes. It is shown only to authorized staff, and each school’s account is sealed off from every other.
- We don’t sell personal information, and we don’t use advertising trackers.
- Questions or requests: legal@theportalwire.com.
This Privacy Policy explains how Dribble Creative, doing business as PortalWire (“PortalWire,” “we,” “us”) collects, uses and shares information through the PortalWire website, web app, phone app and alerts (the “Service”). It is part of our Terms of Service.
1. Information we collect
From you and your staff
- Account information: name, work email, institution, role or title, and the permissions your administrators give you.
- Content you add: recruiting boards, notes and replies, targets, prospects you enter, roster plans and scenarios, alert rules, and NIL budget figures.
- Sign-up and contact forms: on our website, the name, email, school, role, division, phone number (optional) and message you send us.
- Terms acceptance records: when you accept the Terms and this Policy, we record which versions you accepted, your confirmation of NCAA Transfer Portal authorization, the date and time, your IP address and your browser’s user agent, as proof of the agreement.
Automatically
- Security and activity records: sign-ins, sign-outs, membership and permission changes and similar account events, with the date and a description of the device (for example, browser and operating system). Your Institution’s administrators can see their account’s activity log.
- Technical data: IP address, browser type and request data processed by our hosting provider to deliver and protect the Service. Rate-limit records store a one-way hash of an IP address or email rather than the value itself.
- Error reports: if the app hits an error, it may send the error message, code location, page name and browser type — never the contents of your screen.
- Push notifications: if you turn on phone alerts, the push address your browser or phone gives us.
- Cookies and browser storage: one essential sign-in cookie (HttpOnly, secure) and browser storage for preferences such as theme, columns and filters. We do not use advertising or cross-site tracking cookies or third-party analytics.
About student-athletes and prospects
To provide the Service, PortalWire processes information about college basketball players, including: transfer portal entries and status (name, institution, division, dates, and where provided, contact details, contact preferences and comments); rosters and game statistics; and information your staff enters about prospects. We make portal information available only to staff of Institutions whose users have confirmed they are authorized to see it, and the Service is designed to hide contact details where a “do not contact” preference is marked. Institutions decide how their staff use this information and are responsible for using it lawfully and in line with the rules that apply to them.
2. How we use information
- To provide the Service: show portal entries and statistics, send alerts, calculate Projections, and save your staff’s work.
- To create and secure accounts: send sign-in codes and links, keep each Institution’s data separate, prevent abuse and investigate misuse.
- To keep records of agreements, permissions and portal authorization confirmations.
- To support you, fix problems and improve the Service.
- To send notices about the Service, and, if you signed up on our website, to tell you when PortalWire launches and about pricing. You can ask us to stop at any time.
- To comply with law and enforce our Terms.
We do not sell or rent personal information, use it for targeted advertising, or share one Institution’s content with another Institution.
3. How we share information
- Within your Institution’s account: with other members according to the permissions your administrators set (for example, NIL figures only for administrators and staff they choose).
- Service providers that process information on our behalf to run the Service, such as cloud hosting, database, storage, network and email delivery providers, servers we operate or lease, font and content delivery services, push-notification services operated by browser and phone makers, and, when paid plans begin, our payment reseller or processor.
- Legal and safety: when required by law, subpoena or court order, or when we believe it is needed to enforce our Terms, investigate misuse of the Service or portal information, or protect the rights, property or safety of PortalWire, our users or others. This can include sharing account and activity records with the affected Institution.
- Business transfers: as part of a merger, acquisition or sale of assets, with this Policy continuing to apply.
4. Retention
We keep account information and your Institution’s content while the account is active and for a reasonable period afterward for backups, legal and security purposes, then delete or anonymize it. Error reports are deleted after 30 days. Terms acceptance records are kept for as long as needed to show the agreement. Your Institution’s administrators can remove members at any time.
5. Security
We use reasonable measures designed to protect information, including encryption in transit, HttpOnly secure sign-in cookies, one-way hashing of sign-in secrets, account isolation between Institutions, role-based permissions and activity logging. No method of transmission or storage is completely secure, and we cannot guarantee the security of any information. If we learn of a security incident that affects your personal information, we will notify you as required by applicable law. Please keep your sign-in methods private and tell us right away about any suspected misuse.
6. Your choices and rights
You can ask to see, correct or delete your personal information, or to stop marketing emails, by contacting legal@theportalwire.com. Some requests about content your Institution controls may need to go through your Institution’s administrators. Student-athletes and others who believe we hold information about them may also contact us; we will respond as required by applicable law and our obligations to the Institutions that use the Service.
7. Children
The Service is for college athletics staff and is not directed to children under 13. Staff may enter information about high-school prospects; that information is used only for the Institution’s recruiting work and handled under this Policy.
8. Where information is processed
PortalWire is operated in the United States, and information is stored primarily in the United States. Our service providers may process information in other countries to deliver and protect the Service.
9. Changes
We may update this Policy. When we make a material change, we will update the version and effective date above and ask you to review and accept it before you continue using the Service.
